How information is handled across the website, pilot workflows, and grading service.

Scope

This policy describes GradeAssist's public website, pilot workflows, and hosted grading service. A written institutional or pilot agreement may set additional requirements and controls.

GradeAssist is designed for instructors and authorized teaching teams. Only upload student work when your institution and role authorize you to do so.

Information we process

  • Account and contact information you provide.
  • Assignments, rubrics, answer keys, submissions, and related course material submitted for grading.
  • Operational records such as audit history, review actions, request identifiers, security events, and service diagnostics.
  • Information submitted through resource, access, and scheduling forms.

How information is used

GradeAssist uses information to provide and secure the service, prepare evidence-linked grading decisions, support teaching-team review, communicate about requested resources or pilots, and diagnose service problems.

GradeAssist does not use student work for targeted advertising.

AI and service providers

GradeAssist may send the material needed for a grading task to the AI provider configured for an approved deployment. Hosting, email, analytics, and scheduling providers may also process limited information needed to deliver their services.

Pilot privacy controls require an approved provider boundary and human confirmation that submissions are deidentified or pseudonymized before upload. Development-only model routes are disabled for student-data pilots. The provider and retention posture for a pilot is documented through the Security posture review.

Retention and security

Retention depends on the deployment and approved pilot terms. Pilot controls support configured limits for raw artifacts, extracted text, and model output. Deidentified evaluation copies are retained only when that use is explicitly approved.

GradeAssist uses access controls, scoped workspaces, audit records, and other technical safeguards appropriate to the deployment. No online service can guarantee absolute security.

Your choices and contact

You may ask to access, correct, or delete account and contact information. Requests involving institutional student records may need to be handled through the institution responsible for those records.
